Quotes & Pricing

Build margin-aware quotes with sections, line items, dynamic formulas, and automatic cost-and-markup calculations. Every quote in Servantium stays accurate and audit-ready.

Quotes are the financial backbone of an engagement, breaking down pricing via sections and line items with automatic calculations.

Creating a quote

  1. Open an engagement and navigate to the Quotes tab.
  2. Click Create and enter a title.
  3. Optionally select a quote template to pre-populate structure.
  4. Click Create to open the editor.

The quote editor

The editor centers around a main table for items and a collapsible left sidebar for managing sections and quote actions.

Quote actions

Click the More options icon at the top of the sidebar to generate AI quotes, create documents, build resource plans, or manage templates.

Quote sections (groups)

Sections organize your quote into logical phases. Manage hierarchy, reorder via drag-and-drop, and view section totals in the sidebar.

Tip

You can apply Tags to individual sections. If you change a section’s tags, Servantium automatically re-evaluates all line items within that section against the Service Catalog, instantly refreshing their pricing and dynamic formulas.

Line items

Each line item represents a specific cost.

  • Optional: Checked items are excluded from all totals.
  • Autocomplete: Start typing to fetch default catalog costs and markups.
  • Keyboard Navigation: Press Tab to quickly move between quantity, cost, markup, and discount fields.

Margin calculations

Margins calculate automatically at the item, section, and quote level. The estimate total bar shows Total Cost, Total Markup, and Grand Total.

Discounts: Quantity-based tiered discounts (configured in Settings) apply automatically when line items hit specified quantity thresholds.

Quote templates

Templates save standard structures and encode default line items, costs, and dynamic formulas.

Note

Massive quote structures (exceeding 500 line items) are fully supported via background batch processing for both templates and AI generation.

AI-assisted quote generation

  1. Ensure the engagement has notes and/or a template.
  2. Open a quote and click the AI generate button.
  3. AI reads the context and Service Catalog to build the quote.
  4. Review and adjust the generated structure.

The Service Catalog (items)

The catalog (Settings > Items) is a learning system. Creating or modifying items updates the catalog automatically, ensuring pricing stays accurate.
