Getting started

What is Servantium?

Servantium is an engagement management platform for professional services businesses. It connects scoping, pricing, proposal generation, resource planning, and institutional memory in one system. Each completed engagement feeds back into your organization’s knowledge base, making future estimates more accurate over time. How is Servantium different from PSA software?

PSA tools are built around timesheets and project management. Servantium is built around the engagement lifecycle: discovery, estimation, proposal, activation, delivery, and learning. The institutional memory engine connects all six phases so that what you learn delivering one project improves how you price the next.

What types of businesses use Servantium?

Consulting firms, implementation teams, managed services providers, creative agencies, and technical services firms that deliver repeatable but customizable engagements. If you need to scope, price, and staff similar work repeatedly without starting from a blank page, Servantium is designed for that.

How do I get an account?

Servantium accounts are created by your organization’s admin, not through self-signup. If you need access, ask your admin to add you from the organization settings. Admins set up the organization and invite team members.

How do I invite teammates?

Organization admins add teammates by email from the organization settings. Invited users join under your organization and share its engagement data. See Organization and Profile for details.

Does Servantium work on mobile?

The application is responsive and works in mobile browsers, including capturing notes via speech-to-text (requires microphone permission). For what best fits how your team works, reach out and we can talk it through.

Servantium runs in any modern browser: Chrome, Firefox, Safari, and Edge. Keep your browser up to date for the best experience.


Using Servantium

What is an engagement?

An engagement is the central record in Servantium. It holds everything for a client project: notes, quotes, documents, resource plans, and custom template fields, from the first conversation through close-out. Engagements advance through lifecycle phases (Draft, Active, On Hold, Completed) controlled by your organization’s configured lifecycle rules.

Can multiple people edit at the same time?

Yes. Servantium is a multi-user platform, so your team can work across engagements at the same time.

How does AI quote generation work?

When you trigger AI generation inside a quote, Servantium reads your engagement notes alongside data from semantically similar past engagements and your Service Catalog to build a structured, section-by-section quote. You review and adjust the result before saving. Notes are the primary input: the more context you capture, the better the output. What is the Service Catalog?

The Service Catalog (Settings > Items) stores your standard line items with default costs and markups. Start typing a line-item name in the quote editor and Servantium suggests matching catalog entries. The catalog updates automatically as you create and modify quotes, so pricing stays current without manual maintenance. See Quotes & Pricing for full details.

How do I generate a proposal document?

Inside an engagement, open the Quotes tab, select your quote, and click the Generate Document button. Choose a document template and Servantium merges your engagement data and quote details into a PDF. Generated documents appear on the Documents tab and open in the built-in PDF viewer. Documents are snapshots: generate a new one when your quote changes.

What integrations does Servantium support?

Servantium includes native bidirectional sync with Salesforce: Opportunities flow in as engagements, and finalized quote data flows back out. The integration uses OAuth 2.0, so your Salesforce credentials are never stored in Servantium. A REST API and CSV import cover additional data migration and sync needs. Can I import existing data?

Yes. The Dataload tool in Settings accepts CSV files for engagements, accounts, contacts, and resources. It supports dynamic field mapping, formula transforms for combining or slicing column values, and per-row error reporting so you can fix and re-import only failed rows. Data and security

Is my data secure?

All data is encrypted at rest and in transit. Servantium is built on Google Cloud Platform. Each organization’s data is isolated at the application level: users in one organization cannot access another’s data.

Where is my data stored?

Data is stored in Google Cloud’s US Central region. For data residency requirements, talk to the Servantium team at [email protected].

Can I export my data?

Contact [email protected] to request a data export for your organization.

How does Servantium use my data for AI features?

AI features (context extraction, similar engagement matching, AI quote generation) operate on your organization’s own data. Notes generate vector embeddings stored on your engagement records, and similarity search runs across your organization’s engagements only.

How do I reset my password?

On the app.servantium.com sign-in page, click “Forgot password” and enter your email address. A reset link will be sent to your inbox.

How do I switch between organizations?

Click your name or avatar in the top navigation bar, then select a different organization from the dropdown. The application reloads with all data, templates, and settings for that organization. See Organization and Profile for details.
